Telling it like it is

The ‘tone and manner’ of business correspondence going to clients is something that receives scant attention in most organizations. Advertisements are usually subjected to exaggerated scrutiny, but non-advertising communication is often of the ‘default’ sort. This is bad news in corporate image terms.

Some thoughts which might help change this: 1) The ‘old days’ of using extremely formal, legalistic or archaic language forms are gone. This is largely as a result of e-mail, SMS, teleconferencing, videoconferencing, movies, actuality TV, radio broadcast informality, development of the global village and the like. Even the BBC - the last bastion of so-called ‘Queen’s English’, has for years already showcased a plethora of regional and international accents along with stylistic and delivery differences. Even given the legislative and other constraints of some professions remember that good communication is simple communication. Slipping into ‘ghastlies’ like ‘heretoforementioned’, ‘as per’, ‘your telecon refers’, ‘will revert’ and such clichés should be avoided at all costs. Where the gravity or other implications of a communication merit it, don’t use colloquial language if that’s not your style, but equally, avoid sounding like an apprentice in Charles Dickens’ writing factory.

2) Nobody speaks their mother tongue with phrases like, ‘we shall’, ‘you could not’, ‘they have not’, etc. We actually say we’ll, you couldn’t, they haven’t etc. I’m not suggesting you start writing like this if it’s not comfortable or natural for you. But ’spoken-speech language’ is the way of the future.

3) A good way to end correspondence, is not with ‘Yours faithfully’, but ‘Yours sincerely’, or even better still, ‘Cordially’. If you know the person personally, maybe end with ‘Kind regards’, ‘Regards’, ‘Warmest regards’ etc. Even ‘Affectionately’ is appropriate under the right circumstances. I’ve even got to the ‘Lots of love’ stage with some of my clients, but heck - who knows, maybe you’re not the huggy sort! E-mail tends to have introduced brusqueness that is devoid of either salutation or sign-off etiquette - which is just plain rude. The greatest communication compliment that can be accorded an individual is when that person’s speech and their literary style are virtually identical. That’s the highest level of communications congruence. Again, it may not be stylistically suitable if you’re drafting a legally-binding contract, tender, responding to a proposal or confirming something that needs to be written in an unambiguous way.

However, when it comes to e-mail or newsletter-type communications with your client base, a warmer, less-formal but still dignified and respectful mode of address works better. Maintain an ethos of personal service, approachability, accessibility and humanity. Your business can still function very professionally while maintaining a personal touch. A natural, spoken-English style of writing in PR or business-to-client relationship marketing communications is not only appropriate but desirable.

To quote verbatim the conclusion of a famous British politician in a letter to someone he detested…. “I remain sir, your most humble and obedient servant. (Like hell!)”

Public Speaking Myths: The Five Worst Pieces of Advice for Public Speakers and How to Ignore Them

It’s not as though the job isn’t hard enough. Getting up in front of a roomful of people gathered to hear you speak can stymie even the most accomplished professional.

Making matters worse is the well-meaning but misguided advice on improving your public speaking performance. That bad advice is everywhere and it’s deadly, especially for those speakers on shaky ground to begin with.

Here then are the top five pieces of advice you’ll want to skip when you’re preparing for your next public speaking opportunity–followed by some alternatives.

1.) Practice your speech in front of a mirror.

Come on now. Have you ever tried it? Anyone who has knows it’s nearly impossible to focus on your performance and avoid being distracted by your own image.

Instead, try practicing in front of a colleague, friend or coach who can give honest feedback. A videotaped performance can also help (provided you play it enough times to be able to begin to “see” your performance the way others might).

2.) Start with a joke.

You may as well start with a dance number. What? Not good at dancing? Well, if you’re not someone who is extraordinarily good at telling jokes, better leave this one alone as well. A joke that falls flat is difficult to recover from, especially if you’re trying to establish credibility.

Instead, try a story, a true anecdote,or an attention-grabbing question or statement to your audience. If you want to start it off on a lighter note, try some self-effacing humor…but leave the canned jokes to the professional comics.

3.) At all costs; move.

Sure we in the audience like to see some signs of life up there, but movement without purpose is called PACING. Walk endlessly from one point to another or move with repetitive motions and your audinece will begin WISHING for a podium to put you behind.

Instead, try looking for opportunities within the context of what you’re saying to add movement. Got an important point to make? Take a step toward the audience, but vary your physical performance the way you vary the content and practice it the same way: purposefully.

4.) Wear bright, eye-catching clothes and accessories.

Your audience is sure to notice that huge broach or bright tie, but after they do, are they listening to anything you have to say?

Instead, make sure your clothes ENHANCE what you say by speaking subtly of your credibiity and authority. Don’t let them speak louder than you do, lest they drown out your message.

5.) Memorize your speech.

This is as sure-fire a way to give a flat and uninteresting performance as reading your speech to your audience is. That’s because in truth, most of us aren’t going to memorize an entire speech or presentation well enough to actually ACT IT OUT with dramatic conviction, as if it had flowed naturally from our thoughts. And if you lose your train of thought, finding it again in a memorized speech gets difficult.

Instead, commit your speech or presentation to memory. There’s a difference. Commiting your information to memory means you will have practiced it enough times to know it thoroughly, in its essence. It means you know what’s coming so well you can ad-lib or change it, summarize it or reword it on the spot, without losing your train of thought. It will keep you engaged and that means your audience will stay engaged as well.

Perception in Communication

In living our lives and communicating with each other our perception of reality is less important than reality itself. Some would argue that there IS no ultimate reality, only the illusion of our perceptions.

Our perceptions are influenced by:

1. physical elements — what information your eye or ear can actually take in, how your brain processes it.

2. environmental elements — what information is out there to receive, its context.

3. learned elements — culture, personality, habit: what filters we use to select what we take in and how we react to it.

For example, colour blind people will not perceive “red” the way as other people do. Those with normal vision may physically see “red” similarly, but will interpret it culturally:

* red meaning “stop” or “anger” or “excitement” or “in debt” (US)

* red meaning “good fortune” (China) * red meaning your school’s colours

Selective Attention

The world deluges us with sensory information every second. Our mind produces interpretations and models and perceptions a mile a minute. To survive, we have to select what information we attend to and what we remember.

Information that attracts our attention

* Sends out strong physical stimulus: contrast, blinking, loudness, etc.

* Elicits emotion — TV dramas, memory aid: when taking notes on an article, write your emotional response to it

* Is unexpected? (This may draw your attention or conversely, you may miss it entirely with your mind filling in the missing pieces you expected to receive.)

* Fits a pattern

* Previous knowledge that gives it context * Interests you

* Connects to basic needs (belonging, sex, danger, hunger…) * Is useful.

Note how important your cultural filters will be in determining the answers to these questions–what hooks your emotions? What is “normal” and what is “unexpected”, etc.
